1. Non-Video Assets - Wrike Task Definitions

This article contains definitions and essential info pertaining to all of the tasks in the "Non-Video Assets" milestone/bucket in the Wrike course development blueprint. 1. Assets - Draft Templates

Basic Task Description

ID/A use the faculty and IDD approved course outline to draft the non-video templates in Google docs for faculty to use to complete their first drafts.

Workflow Guidelines

  1. Initial dates likely to be linked to IDD approval of outline
  2. ID sets task To Do when IDD and faculty approves the course outline
  3. ID may assign task to IDA to draft the templates, but ID must review before sending to faculty.
  4. If IDA to complete initial drafts, recommend set it as a subtask to enable separate tracking
  5. Mark task Done when drafts are shared with faculty

IDD or other IDs for asset templates (applies to all in the "Non-Video Assets" milestone.)

Who Defines Dates?

  • Date is initially set by ID or IDD in project set up, estimated based on set outlining dates and projected approval dates
  • ID should manually keep these dates current.

2. Assets - Faculty Add Content

Basic Task Description

Faculty creates their first drafts of the non-video content.

Workflow Guidelines

  1. This task begins when the non-video templates are sent to the faculty
    1. ID should make note of the date the templates are sent to the faculty in the task description
    2. ID marks the task In Progress when the templates are sent to the faculty
  2. The ID marks this task Done when the faculty has completed ALL of the first drafts.
    1. ID can create subtasks to break the work down and provide faculty milestone dates. E.g., Module 1 due 5/3, Module 2 due 5/8, Module 3 due 5/13, etc.

Who Defines Dates?

  • The start date is initially set automatically, it has a predecessor of the Assets - Draft Templates task.
  • The templated duration of the task is 15 work days. This should be revised by the ID, in conjunction with the IDD, when the outline is approved and the project is first established.
  • The ID is responsible for keeping the dates and statuses up to date.

3. Assets - Edit/Revise Canvas Pages

Basic Task Description

This is an iterative task between the faculty and the ID; it is facilitated by the ID. The ID reviews and edits the drafts and then returns them to the faculty for revision and/or approval.

This task is completed in conjunction with the Edit/Revise Downloadables Content. IDs can choose to include the downloadable content in this task and mark the other as Non-Applicable or can track them separately.

Workflow Guidelines

  1. The ID facilitates this task
  2. This task start has the Assets - Faculty Add Content as a predecessor.
    1. The ID can begin the task when they receive the first drafts rather than waiting until all the drafts are received. If doing so, remove the predecessor and manually enter the start date.
  3. If subtasks/milestone groupings are used for the Faculty Add content task (e.g., drafts by module), ID can use the same subtasks/groupings for the edit/revise task.
  4. Mark task Done when all assets are faculty approved.

  • The templated duration of the task is 15 work days. This should be revised by the ID, in conjunction with the IDD, when the outline is approved and the project is first established.
  • The ID is responsible for keeping the dates and statuses up to date.

Common Mistakes/Confusion

Edit/Revise Canvas Page and Edit/Revise Downloadable Content should occur at the same time. Some IDs might prefer managing them in combined task, others may prefer the separated tasks. If prioritization is a question, the goal should be to get the downloadables to CSG sooner than the Canvas specific pages to the IDA for placement within Canvas because of the tool development time.

3. Assets - Edit/Revise Downloadables Content

Basic Task Description

This is an iterative task facilitated by the ID. The ID reviews and edits the drafts (in Google version) and then returns them to the faculty for revision and/or approval.

This task is completed in conjunction with the Edit/Revise Canvas Pages Content. IDs can choose to include the Canvas Pages content in this task and mark the other as Non-Applicable or can track them separately.

Workflow Guidelines

  1. The ID facilitates this task
  2. This task is set by the template to fully begin when Assets - Faculty Add Content is complete.
  3. The ID can begin the task when they receive the first drafts. If doing so, remove the predecessor and manually enter the start date.
  4. If subtasks/milestone groupings are used for the Faculty - Add content task, can use the same subtasks/groupings for the edit/revise task.
  5. Mark task Done when all assets are faculty approved.
