New Experience Update in Wrike

Changes Impacting the eCornell Use Case

My Home and Pinned Items

The main addition in the new experience is the "My Home" screen that users will be brought to every time they open a new window within Wrike. The PDF above covers this in detail, and goes over all of the different functions that are available to users within the screen.

However, one key feature for eC users to take advantage of will be the "Pinned" items feature. In the new experience, users will be able to pin any items that they might be navigating to frequently. This could be a specific project, folder, dashboard, report, timesheet, etc.

To pin an item to the home screen, a user will want to first navigate to the item that they would like to pin. Then, at the top left of their screen, they will see a location breadcrumb. At the end of the breadcrumb click the thumbtack icon. That item will now be pinned to that specific user's home screen for quick navigation.

Specific views of projects and folders can even be pinned to a user's home screen. This could be either one of the default list, table, gantt, etc, views, or a specific custom view the user has already created (we will cover creating custom views in more detail below).

Tasks cannot be pinned to the home screen. Instead users can continue to use the "starring" function as they did previously for tasks, and then find them in the "Starred Tasks" section at the top right of the home screen.

Folder Tree/Spaces Restructure

The main change that will impact eCornell users in the new experience are the changes to how users will now interact with the folder tree and navigating between spaces. The new experience tries to concentrate attention into the specific space where a user's work is held. While this will work for a lot of eC users, there are still folks who will want to be able quickly navigate from one space to another. Below are some key things to keep in mind while doing so.

When inside of a space, the folder tree is still positioned on the left hand side of the user's screen, and will be either collapsed or expanded based off how the user last had it. If collapsed, users will need to find and click the arrow icon in the top left hand side of their screen. This will bring up the different folders/projects that are present in the space, and users can navigate through them as normal.

In order to access the other spaces, users will need to click the "Show Spaces" button at the bottom left of the folder tree. This brings up the entire list of the eCornell spaces, that user has access to, in a panel to the left of the user's current space. The user can then find the space that is needed, and click the "Open" button that appears next to it.

The new folder tree layout comes with the removal of the top folder tree filter/search bar. This means that users will now need to exclusively use the search function at the top right of their screens to quickly locate specific folders and projects.

Keep in mind that this search function will be searching the entire system and all of it's items, tasks, folders, projects, etc. So, for example, if a user was trying to locate the CALS131 project quickly, they would enter that code into the search bar, and in the results scroll to the section labeled "Projects and Folders" and click the CALS131 project version that they need.

Custom Views

Potentially one of the biggest benefits of the new experience for eC users will be the addition of Custom Views for users to establish on projects and folders within Wrike.

In the new experience, when inside a project, users will now see the option to "add" and "hide" views on a project.

One of the views users can add are "Custom Views". As discussed in more detail in the PDF above, custom views allow users to specify exactly what information they want to see, and how that is laid out. Below is an example of creating and configuring a custom view.

Users will then have this view always available on this project. This then removes the downfall of having shared views between users in a project, and when one user adjusts the view it then adjusts for the other viewers in the project as well.

Currently, if the custom view was created as a "personal" view, it will only be shared with the user who created it. And if the view is needed to be seen by others, it should be created as a "public" view, where it will be available to all users with access to that project.

As stated above, these custom views on specific projects/folders can then be "pinned" to a user's home screen.

Note: The custom view option in the new experience is currently the feature undergoing the most consistent updating, so as more is understood, and functionality is solidified, we will be updating the information on our knowledge base in accordance as well.
Tools

"Tools" aka Timesheets, Reports, Dashboards, Calendars, etc, will now be separated out in a different way than before. Instead of finding them in specific tabs at the top of the screen, users will now click on the dotted grid icon in the top right of the screen to access a dropdown of the different type of tools.

The views in each one of the respective tool spaces is unchanged in the new experience. The main change is how users will navigate to these resources.

An important note at the current time is that when a user navigates into one of these tool spaces, the user will lose access to the collapsable folder tree on the left hand side of their screen. And the user will need to navigate back to their "Home" screen to access the other spaces/projects/folders.

A way to get around this is to pin certain dashboards, reports, timesheets, or calendars that you use to your home screen (which was covered above). When users do this, and they navigate to a pinned tool, the user will then have access to the collapsable folder tree. This has been reported directly to Wrike, so it's unclear how long this will continue to be the case.
