Combining Live Sessions with Facil Tool-

Please follow the User Guide here for the Facil tool version launched in Summer/Fall 2025.

There may be times when you have two identical course sections starting the same date and you want to use the same Live Session meetings for each to boost attendance. Avoid this if it seems inappropriate due to expected high attendance numbers. With approval from your PFM, it may be okay to combine sessions.

The basic approach is to run the Facil tool in one section, and then import the meetings from this source course into the other section, as described below. Each step below much be done very carefully and methodically.

Steps:

  1. Get approval from your PFM. (Standing approval may be possible in some certificates.)
  2. Run the Live Sessions setup tool in one of your course sections. If you are facilitating section _01 and _02, you may find it easiest to always combine from the first section to keep things straight.

Running the tool should create a set of Zoom meetings in each course and will automatically do the rest of the setup. However, this will need to manually confirmed.

Go into each section and check the "Live Sessions" page (NOT the “Live Session Information” page”) and make sure you are in the “Upcoming Meetings” tab:

Ideally, the meeting IDs should match in both courses. If they do match- you are good to go!

If the IDs do not match, proceed to step 3.

  1. Choose one course section as the “source” and be prepared to copy the meeting ID numbers from the meetings IDs that course section.
  2. In the other course section (the “destination” section), delete the existing Zoom meetings.
  3. Next, import meetings from the “source” course section by using “Import Meeting”, which can be found by clicking the “triple-dot” menu from the right-hand side. It will prompt you for meeting IDs to import. One at a time, import the meetings from the “source” course section using their meeting IDs.

Now both course sections are using the same Zoom meetings.
