Automate Rules

All Direct Sub-Tasks Completed Triggers "Done" Parent Task Status

Rule Definition: When all of the direct sub-tasks of a parent are marked "Done" the status of the parent task will be marked "Done" as well.

Rule Example: When all tasks within the "Non-Video Assets" bucket/parent task have been set to done, the "Non-Video Assets" task will be automatically changed to "Done" also.

Considerations:

  • The system can take anywhere from 30 seconds to 5 minutes to run and complete the rule. The rule will not run instantaneously.

Completed Predecessors Triggers "To Do" Status

Rule Definition: When a task's predecessor tasks are marked “Done”, that task will be marked as “To Do” automatically.

Rule Example: When the task “6. Video Processing” is marked as done, the task “7. Review Studio Videos” will be automatically marked as “To Do” by the system without any user needing to do so.

Considerations:

  • The system can take anywhere from 30 seconds to 5 minutes to run and complete the rule. The rule will not run instantaneously.
  • If tasks are done out of sequence, the rule could potentially overwrite previously set statuses. For example, if the task "3. Prepare Talking Points" is completed before the task "2. Schedule & Prep for Shoots", once the latter task is set to complete the former task's status will change from to "Done" to "To Do".
  • Mass editing a bucket of subtasks to "Done" will also trigger the rule to run, and most of the statuses will likely end up marked as "To Do".
